Your right to privacy is very important. OneCertainty recognises that when you choose to provide us with information about yourself, you trust us to act in a responsible manner. We believe this information should only be used to help us provide you with a better service. That's why we have put a policy in place to protect your personal information. The key points of our policy are listed below:

  • Any information that OneCertainty needs to store and process will be carried on database servers located in the UK, and in full compliance of the Data Protection Act and ISO 27001. We are registered as a data controller with the Information Commissioner’s Office under registration number Z2852883. We are also certified as ISO 27001 compliant which is the international industry standard governing security of information and network systems.
  • OneCertainty is an online storage service and as such provides the facility for you to upload and store text files, documents, images, videos and other digital content. We have strict internal procedures and systems in place to ensure that OneCertainty staff and others cannot access or view this digital content. We will never disclose this content to any third party unless we are legally required to do so.
  • Whenever you provide sensitive information (for example, a credit card number to make a purchase), we will take all reasonable steps to protect it, such as encrypting your card number. We will also take reasonable security measures to protect your personal information in storage.
  • Credit card numbers are used only for payment processing only, we do not store the details and nor do we share customer details with any 3rd parties.
  • On occasion, we may need to provide your name and delivery address to third parties that OneCertainty may use for the purposes of delivering specific services to you (e.g., customer support). We will not provide any of your personal information to other companies or individuals for marketing purposes without your permission.
  • OneCertainty may provide links to third party sites. Since we do not control those websites, we encourage you to review the privacy policies of these third party sites.
  • When making a purchase with OneCertainty, we will collect your contact information, which includes name, address, email address and phone number, as well as payment information.
  • When you become a OneCertainty member you automatically subscribe to electronic newsletter and special offer promotions. If you would like to unsubscribe from these communications you can do so by emailing us on support@onlinelegacies.com.
  • OneCertainty uses cookies for various reasons. These cookies do not track individual information. Cookies from OneCertainty can only be read by OneCertainty. If you choose to disable cookies in your browser, you will not be able to carry out a transaction with OneCertainty. We use the following cookies on our site
    1. Google Analytics - The cookies collect information in an anonymous form, including the number of visitors to the site, where visitors have come to the site from and the pages they visited. To opt out of being tracked by Google Analytics across all websites visit http://tools.google.com/dlpage/gaoptout.
    2. The __utma Cookie - This cookie keeps track of the number of times a visitor has been to the site pertaining to the cookie, when their first visit was, and when their last visit occurred.
    3. The __utmb and __utmc Cookies - __utmb takes a timestamp of the exact moment in time when a visitor enters a site, while __utmc takes a timestamp of the exact moment in time when a visitor leaves a site. __utmb expires at the end of the session. __utmc waits 30 minutes, and then it expires.
    4. The __utmz Cookie - this cookie keeps track of where the visitor came from, what search engine you used, what link you clicked on, what keyword you used, and where they were in the world when you accessed a website.
    5. Site Specific Cookies - The site also uses session cookies to enable us to provide a better service to you. (Session cookies are temporary files which are erased when you close your browser.) These enable us to record the following information:
      1. Whether you are logged in or out.
      2. To recall what you have placed in the basket.
      3. The status of your registration.
    6. In addition to session cookies we also use persistent cookies which help websites remember your information and settings when you visit them in the future. This results in faster and more convenient access since, for example, you don't have to login again.
    7. You can help OneCertainty maintain the accuracy of your information by updating your personal details from within your OneCertainty Control Panel.
    8. We reserve the right to change the Privacy Policy from time to time and will provide notice of these changes on the Privacy Policy pages of our web site. You should make sure you periodically review the Privacy Policy to make sure it meets your needs.
    9. As an added security measure we have taken the step of engaging a not for profit company, Lifetime Data Secure Limited to protect and store your data. This means that in the unlikely event that we are no longer trading you can access your data from Lifetime Data Secure by visiting www.lifetimesecuredata.com or contacting them on support@lifetimesecuredata.com. This company has been engaged by us to hold your data for up to 100 years or until you tell them otherwise.
    10. If you decide to cancel your membership with us your data will be securely destroyed by us and Lifetime Data Secure within 14 days of cancellation.
    11. You have a right to request a copy of the information we hold on you at any time. Please email us if you would like to receive a copy of this information info@onlinelegacies.com. There will be a small charge for processing this request.

OneCertainty will not otherwise disclose its customers' personal and account information unless OneCertainty has reason to believe that disclosing such information is necessary to identify, make contact with, or bring legal action against someone who may be causing harm or interfering with the rights or property of OneCertainty, OneCertainty' customers, or others, or where OneCertainty has a good faith belief that the law requires such disclosure.

OneCertainty also will not, except for reasons stated below, disclose to third parties the contents of any electronic mail or other electronic communications that OneCertainty stores or transmits for its customers. The circumstances under which OneCertainty will disclose such electronic customer communications are when:

  • it is necessary in order to provide service to the customer;
  • it is necessary to protect the legitimate interests of OneCertainty and its customers;
  • it is required to cooperate with dispute policies, court orders, warrants, or other legal processes that OneCertainty determines in its sole discretion to be valid and enforceable
  • it is necessary to provide to a law enforcement agency when the contents are inadvertently obtained by OneCertainty and appear to pertain to the commission of a crime.

OneCertainty disclaims any intention to censor, edit or engage in on-going review or surveillance of communications stored on or transmitted through its facilities by customers or others. OneCertainty will, however, review, delete or block access to communications that may harm OneCertainty, its customers or third parties or otherwise infringe the rights of third parties. The grounds on which OneCertainty may take such action include, but are not limited to, actual or potential violations of OneCertainty' Terms and Conditions.
